1. Who we are
The Business of Hope is a general partnership co-owned in equal (50/50) shares by Matthew Harless and Ashley Chancellor. In this policy, "we," "us," and "our" mean The Business of Hope, acting through both partners. "You" means anyone who visits our website, subscribes to our newsletter, buys a product, or uses the Hope Assessment app.
Matthew Harless is our designated privacy contact and handles all privacy requests on behalf of the partnership.
Contact for privacy questions:
Matthew Harless, Partner
The Business of Hope
909 Marion Ave
Covington, IN 47932
Email: matt@hopeassessment.org
If you contact us about a privacy request (see Section 8 and Section 9 below), please put "Privacy Request" in the subject line so we can route it quickly.
2. What this policy covers
This policy explains what personal information we collect, why we collect it, who we share it with, how long we keep it, and what rights you have. It covers:
· hopeassessment.org — our main website, including the blog, shop, and contact form.
· The Hope Assessment app — the daily 0–10 check-in tool we link to from the website (hosted at a subdomain of pplx.app).
· Our email list — the newsletter you can subscribe to from the blog.
· Our shop — powered by GoDaddy Online Store, where we sell stickers and signed books.
This policy does not cover websites we link to (for example, Amazon, LinkedIn, or a co-founder's personal site). Those sites have their own privacy policies.
3. What information we collect
We only collect what we actually need. Here's the full list.
3.1 Information you give us directly
· Email address — when you subscribe to the blog or newsletter, or contact us through the contact form.
· Name — when you contact us or place an order.
· Shipping address — when you place an order.
· Payment information — when you place an order. Payment card details are entered on and processed by our payment providers (GoDaddy Online Store and its payment processors, such as Google Pay). We do not store your full card number on our servers.
· Message content — anything you write in the contact form or email us.
· Role, facility, or organization — if you choose to share this when you order a bulk pack or request an organizational pilot.
· Personalization requests — if you ask for a signed book to be inscribed to a specific person.
3.2 Information you give us through the Hope Assessment app
If you create an account in the Hope Assessment app, we collect:
· Email address and password (password is stored in hashed form, not in plain text).
· A user-created category (for example, "med-surg RN" or "student nurse") — you type this yourself; we do not seed it from a list.
· Timestamped Hope Scores — every time you submit a 0–10 check-in, we record the score and the date/time.
You can use the assessment without an account by simply opening the app and taking the check-in; in that case, no personal information is stored.
3.3 Information collected automatically
When you visit the website or use the app:
· Log data — IP address, browser type, device type, referring page, pages visited, and timestamps. This is standard web-server information.
· Cookies and similar technologies — see Section 5.
· Analytics data — aggregate information about how visitors use the site (see Section 4.3).
· reCAPTCHA data — Google reCAPTCHA is on our contact form to block spam. Google collects hardware, software, and interaction data to determine whether you are a human. This is governed by Google's Privacy Policy and Terms of Service.
3.4 What we do not collect
· We do not collect health information, medical records, diagnoses, or protected health information (PHI). The Hope Assessment is a self-check tool, not a clinical instrument, and is not covered by HIPAA.
· We do not knowingly collect information from children under 16.
· We do not buy personal information from data brokers.
· We do not sell your personal information (see Section 6.3).
4. How we use your information
We only use your information for the purposes below.
4.1 To fulfill your orders
To process payments, ship products, send order confirmations, and handle returns or customer-service questions.
4.2 To send you email you asked for
To send the weekly blog, occasional announcements about new products or programs, and — if you request them — resources like the Hope-Informed Care starter guide. You can unsubscribe at any time using the link at the bottom of every email.
4.3 To operate and improve the site and the app
To keep the website and the Hope Assessment app running, fix bugs, understand which pages and features are used, and improve them. We use standard analytics — such as Google Analytics and/or the built-in statistics provided by GoDaddy — that report aggregate patterns (for example, "how many people visited the shop this week") rather than individual profiles.
4.4 To let you use the Hope Assessment app
To store your account, show you your own Hope Score history and trends, and — for administrators of The Business of Hope only — display aggregatedashboard views (for example, total number of check-ins this month across all users). Aggregate views do not identify individual users.
4.5 To respond to you
To reply to your contact-form messages, emails, and phone inquiries.
4.6 To comply with the law
To meet legal, tax, and accounting obligations, and to respond to lawful requests from government authorities.
We do not use your information for automated decision-making that has legal or similarly significant effects on you.
5. Cookies and similar technologies
Cookies are small text files a website stores on your device. We (and the services we use) use them for three things:
· Necessary cookies — to make the site work (for example, to keep your shopping cart items during checkout and to keep you logged in to the Hope Assessment app).
· Analytics cookies — to understand aggregate site usage (see Section 4.3).
· Security cookies — set by Google reCAPTCHA to protect the contact form from spam.
You can control cookies through your browser settings. If you block all cookies, some parts of the site (such as the shopping cart and app login) will not work.
We do not use cookies for cross-site advertising or retargeting today. If that changes, we will update this policy and, where required, ask for your consent.
6. Who we share your information with
We share only what is necessary, and only with the categories of recipients below.
6.1 Service providers
We share information with vendors that help us run the business, strictly for the services they provide to us:
· GoDaddy — website hosting and Online Store platform.
· Payment processors (including Google Pay and GoDaddy's payment partners) — to process card and digital-wallet payments.
· Email service provider — to send newsletter and transactional email.
· Shipping carriers (such as USPS) — to deliver physical products.
· Perplexity (pplx.app) — hosting provider for the Hope Assessment web app.
· Google — Analytics (if enabled) and reCAPTCHA.
Each of these providers has its own privacy policy and is contractually required, where applicable, to protect your information and use it only for the services we've asked them to perform.
6.2 Legal disclosures
We may disclose information if we are required to by law, subpoena, or court order, or if we believe in good faith that disclosure is necessary to protect our rights, your safety, the safety of others, or to investigate fraud.
6.3 Business transfers
If The Business of Hope is ever sold, merged, or reorganized, your information may be transferred to the new owner. If that happens, we will notify you and give you a chance to opt out where required by law.
6.4 We do not sell your personal information
We do not sell your personal information, and we do not share it for cross-context behavioral advertising, as those terms are defined under the California Consumer Privacy Act (CCPA/CPRA). We have not sold or shared personal information in the previous 12 months.
7. How long we keep your information
· Email list contacts: until you unsubscribe, then removed from active sending; we may keep a suppression record so we don't email you again by mistake.
· Order records: for at least 7 years to meet tax and accounting requirements.
· Contact-form messages: typically 2 years, then deleted unless we still need them to answer a follow-up.
· Hope Assessment app accounts and Hope Scores: until you delete your account. When you delete your account, your Hope Scores are removed from active systems within 30 days; anonymized, aggregate counts may remain for statistical purposes.
· Server logs and analytics data: typically 14 months, sometimes shorter depending on the provider.
8. Your rights — everyone
No matter where you live, you can:
· See what we have — ask us for a copy of the personal information we hold about you.
· Correct it — ask us to fix anything that is wrong.
· Delete it — ask us to delete your information, subject to legal exceptions (for example, we may need to keep an order record for tax purposes).
· Unsubscribe — from any marketing email by clicking the unsubscribe link at the bottom.
· Ask a question — email matt@hopeassessment.org with "Privacy Request" in the subject line.
We will respond within 30 days.
9. Your rights — California residents (CCPA/CPRA)
If you are a California resident, you have additional rights under the California Consumer Privacy Act, as amended by the CPRA:
9.1 Right to know
You have the right to request that we disclose the categories and specific pieces of personal information we have collected about you, the categories of sources, the business purpose for collecting it, and the categories of third parties with whom we share it. The categories we collect and share are listed in Sections 3 and 6.
9.2 Right to delete
You have the right to request that we delete personal information we have collected from you, subject to certain exceptions (for example, records we must keep for tax or fraud-prevention purposes).
9.3 Right to correct
You have the right to request that we correct inaccurate personal information.
9.4 Right to opt out of sale or sharing
We do not sell your personal information or share it for cross-context behavioral advertising, so there is nothing to opt out of. If that ever changes, we will provide a "Do Not Sell or Share My Personal Information" link.
9.5 Right to limit use of sensitive personal information
We do not use sensitive personal information for any purpose beyond what is necessary to provide our services, so there is nothing to limit.
9.6 Right to non-discrimination
We will not discriminate against you for exercising any of these rights. We will not deny service, charge different prices, or provide a different quality of service because you exercised a right.
9.7 How to exercise these rights
Email matt@hopeassessment.org with "California Privacy Request" in the subject line. We will verify your identity (usually by matching your email address to our records) and respond within 45 days. You may designate an authorized agent to make a request on your behalf; we will ask for written proof of that authorization.
10. Your rights — EU, UK, and EEA residents (GDPR/UK GDPR)
If you are in the European Union, European Economic Area, or United Kingdom, you have rights under the General Data Protection Regulation (GDPR) and the UK GDPR.
10.1 Data controller
The Business of Hope — the general partnership of Matthew Harless and Ashley Chancellor — is the joint data controller for personal information collected through hopeassessment.org and the Hope Assessment app. Matthew Harless is the designated point of contact for GDPR and UK GDPR requests. Contact: matt@hopeassessment.org.
10.2 Legal bases we rely on
We process personal information under the following legal bases:
· Contract — to fulfill orders, deliver products, and provide the Hope Assessment app account you signed up for.
· Consent — for marketing email (you can withdraw consent at any time by unsubscribing).
· Legitimate interests — to operate, secure, and improve the site and the app, and to respond to your inquiries.
· Legal obligation — to keep tax and accounting records and to respond to lawful requests.
10.3 Your rights under GDPR
· Access, rectify, erase, or restrict our processing of your personal data.
· Object to processing based on legitimate interests.
· Data portability — receive a copy of the personal data you have given us in a common, machine-readable format.
· Withdraw consent at any time (this does not affect the lawfulness of processing before withdrawal).
· Lodge a complaint with your local data protection authority. In the UK, that is the Information Commissioner's Office (ICO).
10.4 International data transfers
We are based in the United States, and our service providers (GoDaddy, Google, Perplexity, and others) primarily process data in the United States. When we transfer personal data from the EU, UK, or EEA to the United States, we rely on the safeguards our providers offer, such as the EU–U.S. Data Privacy Framework or Standard Contractual Clauses.
10.5 How to exercise these rights
Email matt@hopeassessment.org with "GDPR Request" in the subject line. We will respond within one month.
11. Children's privacy
Our website and the Hope Assessment app are intended for adults — primarily healthcare workers. We do not knowingly collect personal information from anyone under 16. If you believe a child under 16 has provided us with personal information, please email matt@hopeassessment.org and we will delete it.
12. How we protect your information
We take reasonable technical and organizational measures to protect your information, including:
· HTTPS/TLS encryption on the website and the app.
· Password hashing for Hope Assessment app accounts.
· Access controls limiting who can see order and account data.
· Reliance on established service providers (GoDaddy, Google, Perplexity) for infrastructure security.
No system is 100% secure. If we ever experience a data breach affecting your personal information, we will notify you as required by applicable law.
13. Third-party links
Our website and blog link to other sites (Amazon, LinkedIn, Substack, mattharless.com, justanursern.com, and others). We are not responsible for the privacy practices of those sites. Please read their privacy policies before providing personal information.
14. Do Not Track
Some browsers send a "Do Not Track" signal. There is no industry standard for how sites should respond, so our site does not respond to Do Not Track signals at this time. You can still control tracking through your browser's cookie settings.
15. Changes to this policy
We may update this policy from time to time. When we make material changes, we will update the "Last updated" date at the top and, where required, notify you by email or a notice on the website. Continued use of the site or app after changes means you accept the updated policy.
